Job Description
Primary Responsibilities:
  • Liaise with Governance and Performance Management on the production of Project Quality audit plans and coordinate work schedules within portfolios and projects
  • Provide input into, and support the development and implementation of, the PMO Vision, Values, Strategy and Objectives
  • Effective Portfolio plans, budgets and resource schedules are developed, agreed and managed effectively
  • Inter-dependencies between all initiatives are identified and managed throughout the lifecycle
  • Providing input to business cases to assist the design and delivery of initiatives to meet business plans and goals
  • Facilitate the delivery of projects within the portfolio through providing/facilitating the necessary support at key points in each project’s life-cycle and through appropriate interventions in a timely and effective manner
  • Support Project and Portfolio Managers with production and maintenance of schedules/plans, change control and action logs, etc.
  • Carry out day-to-day support activities for portfolio level core functions including collation of RAID, resource and planning data, MI, progress reports and completed project report templates and required information
  • Produce MI for Programme Steering Groups to agreed time and quality standards
  • Monitor project budgets, issuing reports and ensuring project managers provide updated budgets and status insights
  • Assist with the production of reports on project spend to assist with budget reporting and control
  • Support and assist in administration of project reviews
  • Support to projects through key milestone checks, ensuring projects are run to cost and in time and also project resource is aligned correctly
  • Run and maintain an efficient and achievable reporting cycle & calendar
  • Manage production and consolidation of the agreed standard portfolio and project status reports
  • Ensure that all necessary information is available for effective decision-making, at all levels
  • Validate that the governance structure and measures designed for the programme /project is appropriate and effective throughout the life-cycle of the programme /project
  • Work with the Business Solutions Project Managers and Analysts to ensure that all initiatives are actively managed on a day to day basis, with timely and effective resolution or escalation of risks and issues
  • Provide reporting and governance support to the Business Solutions team
  • Support internal project teams members in financial project/contract related matters
  • As part of managing the portfolio reporting function, remain fully aligned and consistent with other programme control functions (e.g. planning, resource management, financial control) as well as associated entities outside the portfolio
  • Build and maintain strong relationships with key internal stakeholders and external suppliers to ensure the PMO delivers an appropriate service
  • Promote the adoption of best practice and acceptable standards across the team in terms of core skills such as planning, risk & issue management, timely escalation, stakeholder management and reporting
  • Provide expert consultancy / support in the use of project / programme management tools and techniques
  • Monitor ongoing portfolio and project compliance with reporting standards and intervene when this deviates or slips
  • Implement and maintain consistent templates for managing project and reporting status. These templates should facilitate trend-driven reporting for the portfolio which provides the portfolio with information and insight needed to help decision makers predict and plan for the future
  • Manage and motivate project team resources (which may include 3rd party resource) to support PMO activities and ensure output and deliverables meet the needs of the PMO in support of successful portfolio and project delivery
Experience required:
  • Proven experience of providing assurance on portfolios / programmes across multiple business units
  • Proven experience of working in a line and matrix environment
  • Solid experience in software development lifecycle (SDLC)
  • Sound experience of managing suppliers, clients and stakeholders
  • Proven experience of managing reporting cycles on large scale Programmes, Portfolios or groups of Projects including third party management and clients
